Job Description

An educational facility is seeking an Administrative Coordinator to perform a variety of administrative, fiscal, planning, and staff support activities. This is a short-term position working Monday through Friday from 8 a.m. to 5 p.m.  

Job Responsibilities:

  • Serve as primary point of direct contact and liaison with other departments, individuals, and external institutions
  • Assist in the resolution of student, faculty, staff, and customer complaints
  • Create, compose, and edit administrative and/or technical correspondence and documentation
  • Assist with project development and planning, budgetary planning, tuition, funding, grants, contracts, payroll, employment, travel, and purchasing
  • Maintain department inventory and place orders for replacements, service requests, research new products and prices, and process invoices
  • Log employment applications, prepare applicant acknowledgements and interview documents, and coordinate interview
  • Oversee department payroll functions, maintain personnel records and reports, and prepare employment contracts
  • Answer phones, assist, and resolve administrative problems and inquiries
  • Type work orders, key requests, travel expense reports, purchase requisitions, and facilities requests
  • Schedule appointments and maintain calendars
  • Perform other administrative duties as needed 

Qualifications:

  • Must have an Associate’s Degree in Office or Business Administration, or related field
  • Must have 3 to 5 years administrative experience in a University setting
  • Must have strong customer service and interpersonal skills
  • Must be proficient with word processing, database, spreadsheets, and presentation software
  • Must be extremely organized with an emphasis on integrity and discretion
  • Excellent verbal and written communication skills is needed
  • Must be able to maintain confidentiality at all times
